| What is a proctored exam or activity? |
- A proctored exam or activity is one that is overseen by the instructor or an impartial individual, called a proctor, who monitors a student while he or she is taking an exam or completing the activity. The proctor ensures the security and integrity of the process, and that all guidelines set forth by the instructor are followed.
|
| How are proctored exams or activities done? |
- Students are expected to travel to campus or Germanna Testing Center to complete their proctored exam or activity. If the proctored activity is to take place at the Germanna Testing Center, students will be required to show a valid photo ID and to know the instructor’s name, the course name and which exam or activity they need to complete.
|
| What if the student cannot travel to a Germanna Testing Center for these activities? |
- In the event the student is unable to travel to campus due to distance or other circumstances, the student is responsible for finding and making arrangements for a suitable proctor. The student should work with the selected proctor to complete and submit a Proctor Request Form to the instructor as soon as possible. This must be done in a timely manner to allow the instructor time to verify the credentials of the proctor and to get any materials needed to the designated proctor.
|
| Who are good proctor candidates? |
- Acceptable proctors include, but are not limited to, (1) college or university personnel: administrators, faculty members, counselors, librarians or any official testing center if a testing center is available; (2) public or private school personnel: superintendent, principal, guidance counselor, librarian or teacher; (3) organization or institution education personnel (e.g., training coordinator, human resources personnel); (4) minister or member of the clergy; (5) US Embassy officials.
- Most proctors will proctor an exam at no charge, however if a fee is required it will be the responsibility of the student to assure that the fee is paid.
|
| Who cannot serve as proctors? |
- Excluded from approval as proctors are student family members or relatives, neighbors, immediate supervisors or coworkers regardless of other titles or positions they may hold.
|
| What are student responsibilities? |
- The student is responsible for coming to campus (FAC, LGC or GCAT), and providing a valid photo ID, the name of their instructor, the course name, and which exam or activity they need to complete.
Or if the student cannot travel to campus, the student is responsible for arranging for a proctor prior to the onset of the activity.
- The student is responsible to arrange for a proctor or locate testing center nearest to them.
- The student must have the Proctor Request Form completed and returned to the instructor as soon as possible.
- The student must show a photo ID before taking the exam/activity.
- The student is responsible for any fees associated with securing a proctor.
|
| What are faculty responsibilites? |
- Faculty are responsible for providing the Germanna Testing Centers with a Testing Center Coversheet stating how and when the activity is to be completed, and with any additional material needed such as paper tests or Bb test passwords if applicable.
- In the event that a student cannot come to the Germanna Testing Center for the proctored activity, the instructor will need to request the student submit a Proctor Request Form soon as possible after the start of classes.
Once the Proctor Request Form has been completed:
- Faculty will evaluate the appropriateness of the proctor and verify their availability for the proctored activity.
- Faculty will arrange for the required materials to be available in time for the activity. Again, any fees involved in the handling of materials are the responsibility of the student.
- In addition, faculty need to provide the proctor with a Testing Center Coversheet for the assessment material that states the circumstances under which the assessment is to take place (open book, closed book, use of calculator or notes, etc.).
|
| What are the proctor’s responsibilities? |
- The proctor is required to keep all testing materials in a safe place until time of the activity.
- The proctor must provide a testing-conducive environment for the student.
- The proctor must check the student’s photo ID prior to the commencement of the activity.
- The proctor must monitor the activity in accordance to instructor guidelines.
- The proctor must return the material to the instructor in a secure and timely manner.
