Interlibrary Loan Policy

The Germanna Community College library offers interlibrary loan of books and journal/magazine articles to fulfill the course related and research needs of Germanna students, faculty and staff. Community patrons will be referred to their local public library.

Requests to borrow materials through interlibrary loan must be made in writing. Interlibrary Loan Request forms are available at the Circulation Desk or online. Interlibrary loans will take from 7 to10 days to receive.

Requests must contain the following information for the requestor:

  • Name
  • Germanna library card number or student ID number
  • Address
  • Telephone number
  • Germanna email address
  • Complete information for the item(s) requested
    • For a book:
      • Author name
      • Title
      • Publisher and year of publication, if available
    • For a journal/magazine article:
      • Article title
      • Journal/magazine title
      • Date of publication
      • Page number(s) of article
      • Volume and number of journal/magazine, if available

Interlibrary loan requests will generally be processed within 24 hours. If the request cannot be filled, the requestor will be notified as soon as possible via email. When materials arrive at the library, the requester will be notified within 24 hours via email. Materials with a due date will be held for two weeks. If the requester has not picked up the material within two weeks, it will be returned to the lender. Material without a due date will be held until the end of the current semester.

When borrowed materials with a due date are picked up by the requester, the requester will sign for the loan accepting responsibility for the material and for returning the material by the due date indicated by the lending library. If you are a distance learning student and do not have on-campus classes, you may request that material be mailed to your home. The requester will be responsible for any replacement charges required by the lending library in the event of lost or damaged books or for any fees required by the lending library for overdue books.

Interlibrary loan materials must be returned by the due date to the Germanna campus library which initiated the loan. Interlibrary loan materials outstanding at the end of a semester will result in:

    • official grades not being issued.
    • transcripts, certificates, diplomas, or degrees not being issued.
    • re-registration not being processed.

On rare occasions, the lending library will charge a fee for loan of a book or photocopy of an article. When the library is notified of possible charges, the requester will be notified and will be given the option to continue with the loan and pay the associated charges or to recall the request. Any charges or fees for borrowed items must be paid at the time the material is picked up from the library.
